Why we create accounts for DayDream to use
Insurance logins are one of the most common blockers in dental billing. Passwords expire, multi‑factor authentication (2FA) changes, and portal ownership rules often require the original account holder to fix issues. When an account is owned by the practice, we frequently need to wait for office staff to reset access — which can delay work by a day or more. To keep your billing moving, DayDream creates our own logins for the insurance portals your practice uses. This lets us resolve access issues instantly and keeps your revenue cycle flowing without interruption. These DayDream-created accounts are used only by our billing team to access payer portals quickly and securely — so we don’t need to ask your staff for recurring codes, password resets, or portal fixes.Benefits to your practice
- Fewer delays: If a portal locks or a password expires, we can reset it immediately because we own the account credentials.
- Less lift for your team: We won’t need your staff to answer security questions, handle password resets, or chase 2FA codes for DayDream accounts.
- Consistency and accountability: DayDream manages credentials centrally with standard processes, so access stays reliable across your locations and staff changes.
- Security-first handling: We use unique, strong passwords and enterprise 2FA. Access is limited to your assigned DayDream team, audited, and rotated as required by each portal.
- No surprises: Practice-owned logins can be changed without notice (e.g., staff turnover, IT changes). DayDream-owned accounts remove that risk for the work we’re responsible for.
Who uses these accounts?
- These accounts are used exclusively by DayDream billers to perform your billing work.
- 2FA for these accounts is configured to DayDream-managed channels, so we won’t request codes from your team for ongoing use.
What this means (and doesn’t mean) for you
What it means:- DayDream will create accounts on major payor portals (e.g., Aetna, UHC via One Healthcare ID, and others) that are tied to your practice’s provider information.
- We will still coordinate with your office for portals that require a live validation step, or where the portal needs the practice’s participation to add a new user.
- You continue to have full visibility: we document which portals we create accounts for and can share credentials on request.
- We are not taking control of your existing practice-owned accounts. Those stay yours. We create separate DayDream accounts where supported, or child/sibling users under your practice profile when required by the portal.
- We are not reducing security. We are improving it by standardizing how credentials and 2FA are managed.
How we set this up during onboarding
- Plan and prioritize: After your IT install, we use your provider data to determine which portals we’ll create first.
- Create what we can independently: For portals that only require provider information (no practice interaction), we create DayDream logins right away.
- Use existing access where helpful: If you share current portal access, we’ll add DayDream as a new user when portals allow.
- Quick working session (if needed): For portals that require a live verification or challenge via your office email/SMS, we’ll schedule a short call to complete setup together.
Addressing common concerns
- “Will this slow down onboarding?” Creating new accounts can add a few extra minutes per portal, but it saves far more time later by preventing access bottlenecks. We track the impact closely and adjust as needed.
- “Is this compliant and secure?” Yes. We follow portal terms, use strong authentication, and limit access to authorized DayDream personnel. Credentials are rotated and audited per our internal controls.
- “What if a portal doesn’t allow additional accounts?” Some portals require the primary practice account to add users or approve access. In those cases, we’ll guide your team or complete the steps together on a quick call.
- “Can we still access everything?” Absolutely. These accounts exist to keep your billing moving. If you want access to a DayDream-created login, just ask and we’ll provide it securely.
