Welcome to your DayDream Customer Handbook! Our mission is simple: help dentists serve patients by taking the complexity out of billing so your team can focus on care. This page explains how onboarding works, what to prepare, and how to use this handbook.

How Onboarding Works

Onboarding is completed through a series of live meetings with your assigned onboarding specialist.
Each phase builds on the one before it and is walked through with your team in real time.
The onboarding phases are:
  • Kickoff Phase
    A live call focused on alignment—services, workflows, roles, and readiness.
  • Training Phase
    A live call covering how DayDream operates day to day, including platform usage, tasks, and communication.
  • Launch Day
    A live call marking the transition into active service and confirming post-launch expectations.
While timing may vary, the order of these phases remains the same.

What to Prepare Ahead of Onboarding

Before onboarding begins, your team will be asked to provide a few required items through onboarding forms.
Having these ready helps onboarding move smoothly.
Required documents and information may include:
  • W-9 (most current IRS version)
  • Voided check (front and back, clearly marked “VOID”)
  • Tax IDs
  • Provider NPIs (Type 1 and/or Type 2, depending on setup)
  • Provider details for each rendering provider
Detailed instructions and validation requirements are shared during onboarding.

A Note on Standards & Change

DayDream’s standards are designed to improve billing accuracy, verification quality, and overall revenue cycle performance. This may require adjustments to existing workflows. While change can feel uncomfortable, these standards are intentional and designed to support long-term success. Onboarding is a collaborative process, and we’ll guide your team through each step.

How to Use This Handbook

This handbook is organized to support you throughout your journey with DayDream. Once you have access (via your DayDream platform login), you’ll see additional sections in the sidebar. Preparing for onboarding? Use the Your Onboarding Journey section to see what’s needed before your kickoff, including the onboarding checklist and forms, and what to expect in each phase (Kickoff, Training, Launch Day). Already working with DayDream? Use the Working with Us section for helpful articles and support resources, and the FAQs section for answers to common questions. New team member? After they can log in to the DayDream platform (and thus this handbook), direct them to the New to Your Practice? Start Here page in the handbook for orientation and getting started. If something feels unclear, reach out to your DayDream point of contact.

New Team Members in Your Office

When someone new joins your practice and will work with DayDream, follow these steps:
  1. Get them access to the DayDream platform. Your office can add the new team member and send them an invite. If you run into any issues, reach out to your DayDream point of contact.
  2. They use the same login for this handbook. Once the new employee can log in to the DayDream platform, they use those same credentials to sign in to this Customer Handbook.
  3. Have them get up to speed. From the handbook, direct them to the New to Your Practice? Start Here page so they can review daily workflows, platform navigation, and key standards.

What Comes Next

Your next step will be a scheduled Kickoff Phase live call with your onboarding specialist. During that phase, invited team members will receive access to:
  • The DayDream platform
  • Additional Customer Handbook content
From there, we’ll guide you through training and prepare for launch.
